How to use the portal — finding documents, using tools, prompts and guides.

Welcome to the Geradin Partners AI Portal — the firm's central hub for approved AI tools, guidance, and shared resources.
Sign in with your firm account to access everything. The main navigation at the top of every page takes you to each area of the portal:
AI policy — the firm-wide policy on using AI tools, with office-specific annexes.
AI tools — the catalogue of approved tools, each with a usage guide.
News & Updates — announcements about tools, training and firm guidance.
Documents — the shared document library with AI-assisted search.
Tools — practical utilities such as document conversion.
Prompts — the firm-validated prompt library.

The AI policy page contains the firm-wide policy on the use of AI tools. Every member of the firm should read it before using any AI tool for client work.
The main body sets out the rules that apply across all offices.
Office annexes (Brussels, Paris, Germany, London, Netherlands, Finland) cover local variations — links to each annex are in the page and in the footer.
Use the section navigation on the left (desktop) to jump between sections.
You can print the policy with your browser's print function; the page is print-friendly.
The home page lists the firm's approved AI tools, along with training material and shared resources.
Browse the tool cards on the home page, or use the search box to filter.
Click a tool card to open its guide — a step-by-step tutorial covering setup, everyday use, and pitfalls to avoid.
Guides include interactive checklists: tick steps off as you complete them, and your progress is saved to your account.
Use the Open tool button on a guide page to launch the tool itself.

The Documents page is the firm's shared library for AI-related reference material.
Browse or search existing documents; search understands meaning, not just keywords.
Upload documents by dragging files onto the page or using the upload button (PDF and DOCX are supported).
Uploaded documents are indexed automatically so they become searchable and available to the chat assistant.
Use the chat assistant on the documents page to ask questions across the library — answers cite the source documents.
Sharing controls let you keep a document private, share it with a group, or make it available to the whole firm.
Three resources help with day-to-day work:
Prompt library — firm-validated prompts you can copy with one click and paste into an approved AI tool. Prompts are organised by tool and task.
Tools — practical utilities built directly into the portal for converting and processing documents. You must be signed in to use them.

Tip: When copying a prompt, adapt the bracketed placeholders to your matter before running it.
The Tools page offers two document converters. Both run entirely on the firm's servers — no content is sent to external AI services.
Markdown is a simple plain-text format that AI tools — including chat assistants and document-analysis tools — read more accurately and reliably than PDF or Word files. When you paste a PDF or Word document into an AI tool directly, the tool often misreads tables, loses formatting, or skips sections entirely.
Converting first gives you a clean, structured version of the text that:
AI tools handle correctly — headings, bullet points, and tables are preserved in a way AI models understand.
Pastes cleanly — no garbled characters, missing paragraphs, or broken layouts.
Works everywhere — you can paste Markdown into ChatGPT, Copilot, Claude, or any other tool without compatibility issues.
Keeps your data private — conversion happens on the firm's own servers, so the original document is never sent to an external service.
In practice: convert your PDF or Word document, copy the result, then paste it into the AI tool with your prompt.
Converts one or more PDF files into clean, structured Markdown text.
Sign in, then drag your PDF files onto the drop zone or click Browse to select them. Multiple files are supported.
Click Convert to start. A progress indicator shows Converting X of Y while the batch runs.
When complete, each file shows its Markdown output. Use Copy to copy to the clipboard, or Download to save the .md file.
If your PDFs contain images, an image-handling panel appears inside the output with three options:
Placeholder (default) — inserts a ![Image] tag where each image was found.
Embedded — encodes images as Base64 directly inside the Markdown.
Referenced — saves images as separate files and links to them; a Download ZIP button packages the Markdown and all images together.
Select a different image mode and click Re-convert to re-run only the already-converted files in the new mode.
Note
PDFs with merged table cells are converted as best-effort plain tables. A notice will appear if any cells were affected.
Converts a single Word document (DOCX) into Markdown.
Sign in, then drag your .docx file onto the drop zone or click Browse.
Click Convert. The Markdown output appears below with a Preview tab for a rendered view.
If the document contains images, the same three image-handling modes appear in the output panel — select a mode and click Re-convert to apply it.
Use Copy or Download to save the result.

Only
.docxfiles are supported. If you have an older.docfile, re-save it as DOCX in Word first.
The News & Updates page carries announcements about new tools, licences, training sessions and changes to firm guidance.
Pinned items appear at the top — these are the most important current notices.
Each update has a copy-link button so you can share it with colleagues.
Recent updates are also summarised on the portal home page.
Only the tools listed on the portal home page are approved for firm use. Each tool's guide explains what it may and may not be used for. If a tool you want to use is not listed, do not use it for client work — check the AI policy and raise it with your office's AI lead.
Yes — the document library is an internal firm system, and uploads stay within the firm. Standard confidentiality rules still apply: use the sharing controls to restrict sensitive documents to the right group, and follow the AI policy's guidance on client data.
Editing portal content (news, guides, help pages, resources) is limited to administrators and content managers. If you spot something out of date, let a content manager know — regular users have read-only access.
Guide checklist progress is saved to your account when you are signed in. If you were browsing without signing in, progress is stored only in that browser. Sign in to keep your progress across devices.
The document library accepts PDF and DOCX files. Older .doc files are not supported — re-save them as .docx in Word first. There is also a size limit on uploads; very large files will be rejected with a message explaining the limit.
